## Work nobody owns becomes visible only once it is already late

The day-to-day work of a salon or clinic rarely fails on the big things. It fails on the small ones: a call nobody picked up, a consumable everybody assumed somebody else would order, and an evening checklist that on a busy day simply was not done. While that lives in a chat thread, nobody knows whether it is finished or who finished it.

## From “somebody should remember” to “I can see who has what”

What separates a task list from a routine that actually runs is two things: the task reaching the right person without anybody handing it out again each morning, and the number that makes you open it sitting in front of you rather than on a screen you have to remember to visit.

- Create the task from the task list, or straight from the client, booking, sale, or product it is about.
- Pick the people responsible, or leave the field empty so the task belongs to the team at that venue.
- Set a deadline and a reminder, and for a routine of several steps add the checklist.
- The team sees the count of what is due today or already late in the top bar and in the main menu on a phone.
- Close the task with a tick, and the system records who finished it and when.

## The parts a task is made of

Everything except the title is optional. A one-off call and a repeating closing checklist are the same thing with different options switched on.

- **People and venue** — One or several employees, or an empty list — then the task belongs to the whole team at the selected venue and anyone can take it.
- **Deadline and reminder** — A due date and time on the venue's clock, plus a reminder 15 minutes, 1 hour, or 1 day before. The deadline can be pushed a day, and the postponements are counted.
- **Checklist** — The steps of the routine, each with its own tick box. Every step shows who added it and who ticked it off, with the time.
- **Categories** — Cleaning, maintenance, calls, stock — with a colour on the edge of the row, so a glance shows where the week went.
- **Comments and history** — “Rang, no answer” has somewhere to go, and the activity log shows who changed what on the task.
- **Recurring routines** — Closing every evening and the stocktake every Monday are set up once. Every occurrence arrives with the whole checklist and the same people responsible.

## Less falls through, and a clear answer to who did what

The gain is not another list. The gain is that work has an address, a deadline, and a trail — and that a manager can see the load without asking.

## Frequently asked questions

### Does a task have to have an owner?

No. If you leave the field empty, the task belongs to the whole team at the selected venue. Everyone who works there sees it, and whoever does it ticks it off.

### Does everyone see every task?

No. An employee sees the tasks they are responsible for, the ones they created themselves, and tasks with nobody responsible at the venues they are attached to. A role can also be given the permission to see every task in the business.

### How do you set up a routine that repeats?

You set the recurrence pattern once on the task itself. Every following occurrence is created for you, with the same title, the whole checklist, and the same people responsible.

### What notifications does the system send?

On assignment, on an approaching deadline, when the deadline passes, on a new comment, and on completion. By default they go out as an in-app notification and a push message, and e-mail is switched on from the notification settings.

### Can a task be linked to a specific client or booking?

Yes. You create it straight from the client, booking, sale, or product, and it then shows up on that record, with a link back to it from the task.
